A gym owner is on the floor with a client. So, the phone rings, nobody answers, and that customer just calls the next business on Google. And that's exactly the problem that this service solves. In this video, I'm going to show you what this service is, why local businesses happily pay around $500 a month for it, and exactly how to set it up step-by-step. First though, let me show you what happens without this system in place because this is the experience a potential client has when they call, well, most local businesses. A call goes through, it rings and rings, voicemail picks up. Maybe they get a generic message, they hang up, and that lead is gone forever. Now, [snorts] unless they're checking their phone records, which let's be honest, pretty much nobody does, the business owner doesn't even know that that person called. Now, watch what happens when the AI receptionist is running. The system answers the call immediately in plain English. It greets the caller with the business name, it asks what they're calling about, it qualifies the lead, it collects a name and a number or an email address depending on how you have it set up. And if the business owner has calendar booking enabled, it can schedule an appointment directly right then and there. And all of this happens while a plumber is under a sink or the roofer is on a roof or whatever. Let me hop into my computer though and show you the actual setup now. Here inside of my HighLevel dashboard, you go to the subaccount for your client, then click AI agents here on the left. Click on voice AI and then click the create agent button on the top right. Now, from here, you can select from a list of pre-built agents or you can create a custom agent and build your own from scratch. And don't worry, it sounds way more complicated than it actually is. So, we're going to click create agent and then we just have to go through a few of the basic things like agent name, which is what you want to call your AI receptionist, the business name, language, the voice you want to use. I tend to use Jessica most of the time to be honest and I leave the rest as default, then click next. That part takes about two minutes to fill out. For the agent goals, we can choose what kind of information we want to collect. In this case, I'll just say name, email, and contacts issue. Also, at the top here, you'll see select knowledge base. This is how you're going to train your new AI on your client's business. Once again, sounds super complicated, but it is literally copy and paste simple. So, here's my favorite way to do it fast. First, click create new, then create new knowledge base. Give it a name and a description. And from there, you can see we've got a number of different ways to train this. For example, you've got a web crawler, an FAQ, a rich text copy and paste section, there's tables, and a place you can just upload files. We're going to use the web crawler though because this is what I pretty much use 99% of the time right now. So, click add source, then web crawler, select URLs in this domain cuz I want it to crawl the entire website, but of course, you could just crawl whatever pages you think are the most relevant. Then enter your client's website. I'll just use mine here for now and hit the extract data button. What it's going to do now is go through that website and start crawling and scraping, which is basically just marketing nerd talk for extracting all the data from that website in order to train the AI on the services that are offered and the hours and the pricing and the team members and contact information and pretty much anything else you can think of. So, now let's click back to our voice AI and then agent goals tab, and now we can select our newly created knowledge base. We'll hit save and now our AI is completely trained. The only thing left to do now is a few simple admin tasks like updating the hours we want to answer the calls, which we can do under the phone and availability tab, and we can link up a calendar to the AI agent so that it's able to book appointments directly on the call right then and there. To do that, we click the advanced mode tab, scroll down and select new action, click appointment booking, and then select a calendar. Hit next, choose how many time slots you want to make available, then hit save. That's the setup. Genuinely, that's uh that's it. Now, here's the part I want you to actually see working. So, I'm going to call one of my plumbing AI receptionist now if I could just find my phone. Hey, you've reached Super Dave's Plumbing. How can I help you today? Yeah, hey there. My hot water does not appear to be working and there's nothing uh nothing warm coming out of those taps. Ah, no hot water. Definitely not ideal. Sounds like your water heater might be acting up. Let's get that sorted for you. Would you like me to check our availability to send a technician out? Yeah, please. Sooner uh sooner is better. All right. Here's what we've got for today. 8:30 a.m., 11:30 a.m., or if tomorrow works better, 5:30 a.m., 9:30 a.m. Which one of these works best for you? Let's do 11:30 a.m., please. Got it. All right. So, we'll just cut it off there to keep things short, but basically, the AI greets the caller by the business name, asks what they're calling about, takes name and contact info, email or phone number, whatever you want it to collect. And while that call is happening, here's what's happening behind the scenes in the HighLevel automation. The lead gets tagged and added to the CRM, and the business owner gets a text with that customer's details, which means that now the business owner has a warm lead just waiting for them. As we've already covered, the first business to respond wins 78% of the time. Well, your client just became the first business to respond every single time. Oh, important side note here, you can call the number in a test environment just like we're doing here before you ever touch a real client account.
